Approvals and responsibility
You read an approval request as an act you sign, and you know why the responsibility remains yours.
ObjectiveBy the end of this lesson, you will be able to read an approval request as an act you sign, checking recipients, content and details before you accept.
An agent that acts ends up touching the real world: an email goes out, an appointment is booked, a file disappears, a message is published. In Learnya, every action that commits you goes through an approval. The agent prepares, you decide. Sign off is the move that makes you the author of what goes out.
What requires your approval
- Sending: an email, an invitation, a reply.
- Buying: any expense incurred in your name or in the organisation’s name.
- Publishing: a social media post, a newsletter.
- Deleting: a file, a folder, an event.
- Booking: a slot in your calendar.
An approval request presents the action exactly as it will be carried out: the recipient, subject and text of an email, the slot and participants of a meeting, the content of a post. Read it as if you were sending it yourself. It is not a formality. It is the last moment when you can correct things without consequences.
Send the invitation to the whole team.
Prepare the invitation for the quarterly review and suggest two slots on Tuesday or Wednesday afternoon. Show me the list of recipients before you ask to send it.
You check the recipients before approval, where a mistake costs the most.
Responsibility cannot be delegated
Also take the time to read what is not written. A recipient in copy who should not be there, a missing attachment or a wrong time zone are easier to spot at approval than after sending.
Approving means signing. If a wrong figure goes out to a client, it is your email. If a lesson contains an error, it is your training. The agent saves you time on the preparation, it does not take your place in front of the reader. That is why Verify always comes before Sign off.
The activity feed keeps the history of approvals: what was requested, what you accepted or declined. In an organisation, the audit log in the admin console completes this record. So you can find out, weeks later, who approved what.
