Setting the ground rules
A short usage charter, written with the team: data, review, transparency.
Many colleagues do not dare use AI because they do not know what is allowed. Can I put a client contract into it? Do I have to say that a text was prepared with AI? Who reviews? Without answers, caution wins and usage stays marginal, or happens in secret with unauthorised tools.
- Which data you can hand over to Learnya, and which never.
- What must be reviewed by a person before it leaves the team.
- When you tell the recipient that content was prepared with AI.
- Who approves sensitive actions, such as sending or deleting.
- Whom to report an error or a doubt to.
Learnya helps enforce these rules: sensitive actions go through an approval request, and the administrator sets everyone’s roles and permissions. The charter covers the rest, whatever calls for judgement.
A charter that is imposed gets worked around, a charter that is discussed gets applied. Start from a first draft, have it reread by the sceptics, who will spot the gaps, and involve the staff representatives if there are any. In many organisations, consulting them is required whenever a tool changes how work is organised.
