Members, seats and roles

Add and remove members, assign roles and keep track of seats.

ObjectiveBy the end of this lesson, you will be able to add and remove members, give them the right role and read seats and usage in the Team screen.

Administration starts with the list of members. Everyone who uses Learnya in the organisation occupies a seat and receives a role. That role determines what they can see and change. Administrators manage all of this from the “Team” screen.

The three roles

  • Administrator: manages members, roles, groups, the console, billing and the audit log.
  • Member: uses Learnya fully, creates conversations, documents, projects and automations.
  • Read-only: views shared content without changing it, for example an auditor or an observer.

Apply the principle of least privilege. Keep few administrators, but at least two, so that one person’s absence never blocks the organisation. Assign read-only whenever someone needs to see without acting.

  1. Open “Team” in the sidebar.
  2. In the “Members” section, click “Add a member”.
  3. Enter the work email address and choose the role.
  4. Click “Add”. If the person does not have an account yet, they receive a set-up link.
  5. To remove someone, click “Remove” on their row and confirm.

Seats and billing

The screen shows the number of billed and occupied seats. Before you add a member, it states whether the seat is included in the plan or adds a prorated surcharge to the next invoice. An invited person’s seat is counted at their first sign-in. Billing is paid by card, by TWINT or on invoice.

Tracking usage

For each member, the screen shows runs for the day, the week and the month, tokens consumed and storage. These figures help you spot inactive accounts to free up and teams that could use some support.
