Writing and revising a document
Produce a document, track its revisions and export it to Word or PDF.
ObjectiveBy the end of this lesson, you will be able to produce a document, revise it with comments and the revision history, then export it to Word or PDF.
Documents is the word processor of the Office suite. It is used for notes, reports, procedures and long letters. As with Deck, you can start from a blank page or from a first version drafted by Learnya.
Revising without losing track
Every change is kept in the revision history. You can compare two states of the document and go back to a previous version. Comments let you discuss a passage without touching the text. Several people can write at the same time, and each sees the others’ presence.
- Open the resulting document from the conversation or from the Drive.
- Select a passage and add a comment for a colleague.
- Ask Learnya in the conversation: “Make section 2 shorter and more direct.”
- Open the revision history to compare with the previous version.
- Export the document to Word or PDF.
The other tools in the suite
- Spreadsheets, compatible with Excel, for calculations and tracking tables.
- Flow, for building lessons and e-learning modules, exportable to SCORM 2004, xAPI and cmi5.
- Sketches, for drawing a schematic or a diagram.
- Word, PowerPoint, Excel and PDF import and export, for working with your existing files.
All these tools share the same principles: real-time co-editing, comments, revision history and storage in the Drive. Once you have learnt these moves in Documents, you will find them everywhere.
